CREDIT & RETURN POLICY

Items not purchased from J. Polep cannot be
 returned and will not be credited

The following credit and return policy should be used as a guideline.  If you have questions or concerns on our credit and return policy, please contact our Customer Service Department at 1-800 447-6537 or 413) 592-4141.  Thank you.

DELIVERY PROCEDURES

bulletCigarette cartons must be verified at time of delivery with the Polep driver.
bulletCigarette shortages will only be honored when called in by the driver
 at the time of delivery.
bulletTotal bundle count must also be verified by the customer and the driver and
customer must initial and sign manifest verifying count is correct.

DAIRY, FRUIT, PRODUCE AND DELI:

bulletDairy, produce and deli must be checked for salability at the time of delivery. 
 
Credit cannot be claimed after delivery.
bulletJ. Polep Distribution Services guarantees dairy and deli to arrive at your store
 with a minimum of seven (7) days shelf life or unless specified in Bulletin.

PRODUCT REFUSED AT DELIVERY:

bulletProduct that is obviously not salable, shipped or selected incorrectly  may be
refused at time of delivery.  Driver must write up Merchandise Return slip
and customer must sign that product is being returned.

SHORTAGES & CONCEALED DAMAGES:

bulletIn order to receive credit for non-cigarette shortages and concealed damages,
 claims must be reported to our Customer Service Department
WITHIN 24 HOURS
of your delivery.

RETURN MERCHANDISE AUTHORIZATION (RMA): 

MIS-ORDERED OR DAMAGED MERCHANDISE:

bulletMerchandise to be returned for credit
 must be authorized by our Customer Service Department. 
 Please call 1-800 447-6537 or (413) 592-4141.
bulletOur Customer Service Department will require the following information
to process your credit request (RMA):

           ACCOUNT NAME & NUMBER
           ITEM NUMBER & QUANTITY
           INVOICE NUMBER & DATE
           REASON FOR RETURN i.e.,  Incorrectly Ordered, Damaged, etc.
           (If item was mispicked, please also give name of product that was sent
             in  error) 

bulletAny misordered product returned must be in salable condition.
bulletBox and case item must be returned in their original case, unpriced
 and with J. Polep case label affixed. 
bulletSingle pick product must be returned with the Polep original price label attached.
bulletCigarettes can only be returned if they are in salable condition and they must be
sorted by price categories (Major Brand or Generic) and placed in a carton.
DO NOT “TAPE” PACKS TOGETHER AS CREDIT WILL NOT BE
ISSUED IF RECEIVED IN THAT CONDITION. 
Individual packs of cigarettes CANNOT be returned for credit
unless they equal a full carton.
bulletIf cigarettes are “Out Of Code” or “Damaged”, they must be stickered
 by a manufacturer’s representative.  If  they are not stickered, they will not be
 picked up and credit will not be issued.  Couponed and priced cigarettes
 cannot be returned for credit and will be returned to the customer.
bulletComplimentary cigarettes will not be credited and may be returned to the
 customer at a 20% restocking fee of the value for that particular brand.

RETURNED PRODUCT:

bulletThe driver will verify cigarette carton count and full case product to be picked up: all other product will be verified at the warehouse. The drive will leave a signed copy of the the RMA for your records.  The driver can only pick up merchandise listed on the RMA form.
bulletIf you requested a pick up of product and it does not appear on the RMA,
 have the driver call our Customer Service department to issue another RMA
 for the following delivery.
bulletJ. Polep strives to process credits in a timely manner.  Credits will be issued
 at purchased price.  If, for some reason, you do not receive a credit memo
 within 5 to 7 days, please contact our Credit Dept. at Ext. 240.

GUARANTEED PRODUCT:

bulletAll products are guaranteed to arrive in saleable condition.
bulletCigarettes (unless otherwise stated below),  Non-Premium Cigars and Tobacco
 are 100% guaranteed in accordance with procedures as stated above.
bulletCandy is guaranteed ONLY in accordance with the manufacturer’s policy.

NON-GUARANTEED/NON-CREDITABLE AND NON-RETURNABLE:

bulletJ. Polep DOES NOT guarantee the sell-thru of merchandise.
bulletSports Cigarettes
bulletBlunt Wraps.
bulletPremium Cigars
bulletHoliday candy.
bulletSeasonal items
bulletAll other merchandise i.e., HBC, Groceries, Drinks/Juices, etc.
bulletCredit will not be issued on store-priced product or product returned that is deemed not salable.
bulletItems specified in advance as a “non-guaranteed” item cannot be returned.

ANY TOTES RECEIVED FROM YOUR PRIOR DELIVERY MUST BE RETURNED
TO THE COMPANY ON YOUR NEXT DELIVERY.  A FEE OF $10.00 EACH WILL
BE ISSUED FOR ANY UNRETURNED TOTES.

Product returned to J. Polep for credit that does not meet the above stated procedures will NOT BE returned to the customer unless specified above.

Manufacturer’s Return Cigarettes Policy & Procedure 

In order to return cigarettes for credit, the following Manufacturer’s Guidelines must be followed.  If they are not followed correctly, you will not receive credit and your Polep Sales representative will return your cigarettes to you  within four weeks.  J. Polep, however does not guarantee the return of cigarettes to the customer.  

bulletAll “Out of Date Code” and “Damaged” cigarettes must be labeled by the Manufacturer’s Representative
bulletIndividual packs of cigarettes CANNOT be returned for credit UNLESS they are sorted by price category (Major Brand or Generic) and equal a full carton.
bullet Do Not “Tape” packs together as credit will not be issued.  Rubber bands should be used for packs of ten.
bulletAll creditable cigarettes will be credited at the value of the State Tax Stamp on the pack of  returned cigarettes.

RETURNABLE / CREDITABLE CIGARETTES:

bullet“Out of Date Code” and “Damaged” cigarettes labeled by the Manufacturer’s Representative
bulletSaleable cigarettes in date code and not damaged.
bulletAmerican Spirits, Djarum, Nat Sherman and Wave cigarettes in packs of ten (Mfg. label not required).
bulletCouponed/priced cigarettes Must Have Manufacturer’s Label and will be credited at cig. value minus coupon.
bulletDeal promotions must be in the original carton sleeve  (ex. B1G1 free, free product).
bulletBrown & Williamson GREEN stickered Unsalables only. (as of 12/15/03)

NON-RETURNABLE / NON-CREDITABLE CIGARETTES:

·         “Out of Date Code” and “Damaged” cigarettes NOT labeled by the Manufacturer’s Representative.

·         Stickered and Unsaleable Philip Morris and R.J. Reynolds product. (Call manufacturer for returns).

·         Lorillard Massachusetts stamped NewPort and Old Gold product. (Saleable or Unsaleable).

·         Complimentary cigarettes cannot be returned for credit and will not be returned to the customer.

·         Cigarettes pre-booked (shippers and/or deals) through the Manufacturer.

·         Cigarettes not purchased from J. Polep Distribution Services.

·         Philip Morris Marlboro Menthol 72 Blue & Green.

·         Liggett USA discontinued. 5/31/04.

·         Hi – Val Cigarettes 7/30/2004. 

Again  All  “Out of Date Code” and “Damaged” cigarettes must be labeled by the Manufacturer’s Representative or you will not receive credit and your Polep Sales representative will return your cigarettes to you within four weeks.  J. Polep, however does not guarantee the return of cigarettes to the customer.

R.J. REYNOLDS
– June 27, 2003 – No longer stickering Unsaleable and/or Damaged product.  ( Fax request to R.J. Reynolds @ 508-870-0732 to see a Representative.)         December  2004  & January 2005  Only – Reps are orange  stickering  unsaleables  for return. 
 

BROWN & WILLIAMSON – October 17, 2003 – No longer stickering Unsaleable and/or Damaged product.
 
 Phillip Morris – July 18, 2003 – No longer stickering Out of Date Code.
                       November 28, 2003 – No longer stickering  Damaged product.

                           Any product they do sticker must be sent to Phillip Morris for    them to issue you credit.
